What ValleyGO collects, why, and what we do with it. Short version: we collect what we need to answer your enquiry and run your campaign, and we don't sell it.
Last updated: September 30, 2026
1. What we collect
When you send us a message
Our enquiry form asks for, and we store:
- your name and, if given, your company;
- your email address and phone number;
- the market or area you want, campaign type, preferred dates, campaign length, number of trucks and budget range;
- anything you write in the message field;
- which page you submitted from, your browser's user-agent string and your IP address.
The last three are kept for spam prevention and to understand which pages generate enquiries.
Files you upload
Artwork uploaded for a booking on our artwork upload page is stored on our servers so we can review it and send it to the truck partner who runs your ad. Those files are private: only you, signed in to your profile, and ValleyGO staff can open them. We keep your original file unchanged, along with earlier versions you replace, and share approved files only with the truck partner running your campaign.
Artwork and reference files attached to the quote request form are not stored on our servers. They are held in memory only long enough to attach them to the notification email sent to our team, then discarded. We record only the filename, file type and size alongside your enquiry.
That means the working copy of your artwork lives in our email inbox, and is retained as long as that message is.
When you create an advertiser profile
We store:
- business or organization name;
- contact person's name, email address and phone number;
- the categories you select;
- business address, website and social media links;
- your EIN, if you choose to provide it.
EIN is optional and is requested only for invoicing. You can leave it blank and still create a profile and book.
Cookies
We set one cookie, vg_session, and only after you
sign in. It keeps you signed in and holds a random token — no personal
information. It expires after 30 days, or immediately when you sign out.
We do not use advertising or analytics cookies, and we do not run third-party trackers or advertising pixels on this site.
The one thing this site loads from another company is the map on our coverage page — see section 3. It sets no cookie.
2. Why we collect it
- to answer your enquiry and prepare a quote;
- to run, invoice and report on your campaign;
- to review creative against our content restrictions;
- to keep you signed in to your profile;
- to prevent spam and abuse of our forms.
We do not use your details for unrelated marketing, and we do not sell, rent or trade them to anyone.
3. Who we share it with
We share information only with the services needed to run this site and your campaign:
- Railway — hosts the website and its database.
- Cloudflare — DNS and content delivery; it handles traffic to the site.
- Resend — delivers our email, including quote notifications and sign-in links.
- Our partner truck operators — receive the campaign details and creative needed to run your booking.
- OpenStreetMap — supplies the map tiles on our coverage page. Loading that map sends your IP address to them, as loading any image from another website does. It happens only on that one page, and only the map images are requested — nothing about you is sent.
We may also disclose information where legally required. We will not otherwise hand your details to third parties.
4. How long we keep it
Quote requests and advertiser profiles are kept while your relationship with ValleyGO is active and for as long as needed for business and tax records. Sign-in links expire after 20 minutes and work once. Sessions expire after 30 days.
You can ask us to delete your profile and enquiry history at any time — see below.
5. How we protect it
The site is served over HTTPS. Sign-in uses emailed links rather than passwords, so there are no password hashes to lose. Sign-in and session tokens are stored only as cryptographic hashes, meaning a copy of our database could not be used to sign in as you.
No system is perfectly secure, and we cannot guarantee absolute security. If you believe your account has been accessed by someone else, contact us immediately.
6. Your choices
You can ask us to:
- tell you what information we hold about you;
- correct anything inaccurate;
- delete your profile and enquiry history;
- stop sending you the confirmation emails our forms trigger.
You can also edit most of your details yourself at any time on your profile.
7. Children
This site and our services are intended for businesses and adults. We do not knowingly collect information from children.
8. Changes to this policy
If this policy changes we will update it here and revise the date at the top.
